An experience letter confirms that someone worked for you, in what role, for how long. It is a short document — usually under a page — and it is requested constantly. 

Employees need it for their next job, for visa applications, for professional registration, for background verification, and sometimes for education abroad. In India and across the Gulf it is expected as a matter of course, and a departing employee who cannot obtain one is at a real disadvantage.

What it must contain

Short as it is, an experience letter that omits any of these is often rejected by whoever asked for it:

  • Company letterhead — name, address, contact details, and registration number where used
  • Date of issue
  • Employee’s full name, as it appears on their identity documents
  • Designation at the time of leaving, and earlier titles if the role changed
  • Department or function
  • Employment period — exact joining and last working dates, not just years
  • Nature of employment — full-time, part-time, contract
  • A brief statement of responsibilities, where the recipient expects it
  • A conduct statement — the standard wording confirming satisfactory service
  • Authorised signature, with the signatory’s name and designation
  • Company seal, where local practice expects one

The exact dates are the part most often left vague, and the part background-verification agencies check most closely.

Experience letter, relieving letter, service certificate

These are frequently confused and sometimes requested separately.

Experience letter confirms tenure, role and conduct. It is the general-purpose document a future employer wants.

Relieving letter confirms the employee has been formally released from their obligations, that notice was served or waived, and that there are no dues outstanding. Common in India and often required before a new employer will confirm a joining date.

Service certificate is broadly the same as an experience letter, though some jurisdictions and regulated professions use the term specifically, and some require it to be issued on request as a matter of law.

Many employers issue a combined document. If the employee is asking for something specific, ask which — the receiving organisation usually has a preference.

What not to put in it

The reason for leaving. An experience letter confirms service; it is not the place to record why employment ended. Employers who add negative commentary here create exposure and rarely achieve anything by it.

Anything you cannot substantiate. The conduct statement is standard wording. Inflating a role or extending dates to help someone is document falsification, and it is checked.

When to issue it

On the last working day, alongside the final settlement. Waiting for the employee to chase it is a small failure that costs goodwill disproportionately — this is often the last interaction someone has with your company, and it is the one they remember.

Some jurisdictions require an employer to issue a certificate of service on request, and refusing can itself be a breach.
