Why PDF and not Word or Excel

Sending payslips to employees

Payslips contain salary figures, bank details and sometimes tax identifiers. They deserve more care than most of them get.

Send individually, never in bulk. The most common payroll data breach in small businesses is a payslip attached to a group email, or the wrong person’s slip attached to the right person’s email. Send one message per employee and check the attachment before sending.

Use the employee’s work address where one exists. Personal addresses are fine where they do not, but be consistent.

Consider a password on sensitive files. If you password-protect a payslip PDF, share the password through a different channel — a message rather than the same email.

Send on a predictable schedule. On or before payday, every period. Employees stop chasing you when the slip arrives reliably.

Consecutive periods. Usually the most recent two or three months. Gaps or a missing month prompt questions.

Consistent employer details. The same company name, address and format on every slip. Small variations look like the documents were assembled retrospectively.

Itemised deductions. A single lump deduction figure is a common reason for a request for further evidence.

Plausible structure for the country. A slip that uses components from the wrong jurisdiction stands out immediately to someone who reviews these all day.
