Which template do you need?

The simple monthly payslip

For salaried staff on a fixed monthly amount with few deductions. One earnings line for basic pay, perhaps one or two allowances, statutory deductions, and totals.

The detailed payslip with allowances

The standard structure for most employers. Basic pay separated from HRA, conveyance, medical and special allowances, with each statutory deduction itemised and a year-to-date column alongside.

The hourly and overtime payslip

Shows the hourly rate, hours worked in the period, and overtime hours at a separate rate. The totals recalculate every period rather than repeating.

The contractor payment record

Worth naming explicitly because it is not a payslip. Why downloadable Word and Excel templates cause problems

They are the most-searched option and the most-abandoned one, for reasons that show up around the third pay run.

The formulas break. An Excel template with calculated deduction cells works until someone inserts a row, and then it silently produces wrong figures for months.

Fonts and layout shift. A Word template built on one machine reflows on another. Pages break mid-table. The slip arrives looking like a draft.

How to fill in the template

Pay period — start date, end date and pay date. All three. A slip with only a month name is weaker evidence than one with defined dates.
